You can give more people at your company access to the Seller Portal — each with their own login, password, and custom permissions. This keeps your operations secure, organized, and collaborative.
Why add more users?
- Empower your team: Let colleagues manage tasks directly — from placing inbounds to checking shipment statuses.
- Stay informed: Make sure the right people receive key account updates, without relying on shared logins.
- Improve security: Avoid using a single shared password or external password managers for team access.
Roles, Permissions, and Notifications
When you invite someone, you assign them one of two roles: Admin or User.
Admins
- Full access to all Portal pages (including Billing)
- Receive all automated emails (e.g., stockout warnings, orders needing attention, compliance alerts) plus all mission-critical notifications (weather alerts, port strikes)
- Can invite, edit, or archive other users
- Always receive notifications for all contact areas
Users
- Access to all Portal pages except Billing
- Receive mission-critical notifications and any automated emails tied to their Contact Area(s)
- Cannot change other users’ settings
Billing Contact
- This person will always receive invoices and receipts, regardless of their role or contact areas.
- An independent designation from Admins and Users

*Note: Only the designated Billing Point of Contact receives payment‑related emails (invoices, receipts, etc.), regardless of permissions. You can update your billing contact information at any time.
Invite a new user
- Go to Settings > User Management, and click 'Add User.'
NOTE: Only admins can invite new users.
- Enter the name and email address of the person you want to invite. Select the appropriate role, then click 'Create User.'
The new user will receive an email invitation to join your account and to create their password. This user will be in the "Pending" state in the user table until they accept their invite.
The new user invitation email includes a code and a link. When clicked, they will be redirected to your Flexport Portal login, where they will be asked to enter the code before completing their account setup.
NOTE: User invites will expire in seven days.
If the new user says that they have not received their invite, please ask them to check their spam or junk folders first. You can also click ‘Resend Invite’ to send a new email invite.
Rescind a user invite
If you’d like to un-invite a user while their invite is still pending:
- Go to Settings > User Management,
- Select ‘Delete’ next to the pending user, then confirm by selecting 'Yes, delete.'
NOTE: If the user already accepted the invite, follow the steps found in the 'Archive a User’ section.
Edit a user
Use this option to:
- Change a user’s name or role
- Adjust their Contact Areas (to change their permissions and the notifications they receive)
Steps to edit a user
- Go to Settings > User Management,
- Choose any user and click 'Manage' and then 'Edit.'
- Change the person's name or their role, then click 'Save Changes.'

Archive a user
Admins can archive any other admin or user in a Flexport Portal account. This will disable their account and restrict them from logging in.
- Go to Settings > User Management,
- Click 'Manage,' then 'Archive.'
- Confirm that you want to archive this user.
NOTE: You cannot archive yourself, but you can delete a user that is in the "Pending" state.
Email aliases
An email alias is a feature that is provided by your email provider. With an email alias you can send email to john.smith+1@gmail.com and it will forward all emails to john.smith@gmail.com.
Email aliases are considered as entirely separate users. We do not try to combine them. This is useful behavior if:

You previously logged in with Google or Facebook, and now you want to log in manually with your email and password.
- Simply add an email alias manually, then archive the original account.
- We do not currently offer the ability to convert your login method from one to the other.

You previously created a Flexport Portal account on your own, and now you want to join another, already-existing account.
- Simply ask an admin of the already-existing account to add an email alias for you.
- We do not currently offer the ability to join multiple accounts using the same email address.
For Gmail
Just add a +1, +2, or +anything after the first part of the email. For example, anna.warner+flexport@gmail.com. Learn more in the Gmail Help Center.
For other email providers
Please consult your email provider's help documentation to see if they offer a similar feature.
Session security
For security purposes, your Seller Portal session will expire after 24 hours. You will be prompted to log in again after the session expiration.
